RETENTION

This page outlines Trusted Eye's approach to data retention and should be read in conjunction with the Privacy Notice.

Accounting records

Data needed for accounting purposes is kept for five years beginning on the submission deadline of the relevant tax year.

Body worn video footage

In all cases, audio-video footage obtained by body worn video equipment is retained for twenty-eight days, beginning on the date on which the footage was taken.  When footage is evidential (supports any process, assists Trusted Eye to defend civil claims against it, is disclosable under any enactment, or where it is necessary and proportionate to retain it, e.g. for use in administrative or legal proceedings), it is retained for two years, beginning on the date of the last action in the connected case.

Complaints

Complaint data is usually retained for two years, beginning on the date of the event that is complained about, or two years from the date of the last action in the connected case, whichever is later.

Investigations

Data gathered during Trusted Eye's administrative, civil, and criminal investigations are retained for two years, beginning on the date of the last action in the case.

Phone calls, emails and website enquiries

In all cases, recordings of inbound phone calls, emails and website enquiries are retained for twenty-eight days, beginning on the date of the contact.  When material is evidential (supports any process, assists Trusted Eye to defend civil claims against it, is disclosable under any enactment, or where it is necessary and proportionate to retain it, e.g. for use in administrative or legal proceedings), it is retained for two years, beginning on the date of the last action in the connected case.

Process serving

Data relating to our process serving activities are retained for two years, beginning on the date of effective service (which is calculated according to the Civil Procedure Rules).

Service agreements

Contracts between Trusted Eye and its clients are retained for two years, beginning on the date of the last action in the connected case, unless required for accounting purposes, in which case the period is extended to five years in accordance with the policy on accounting records.

Sub-contractors

Data relating to Trusted Eye's subcontractors is retained for two years, beginning on the date of a subcontractor's last action on behalf of Trusted Eye.

Surveillance (managed service)

Data obtained during Trusted Eye's stand-alone, managed services are retained for twenty-eight days, beginning on the date of effective service upon the client.  The date of effective service is calculated using the Civil Procedure Rules.

Test purchasing (managed service)

Data obtained during Trusted Eye's stand-alone, managed services are retained for twenty-eight days, beginning on the date of effective service upon the client.  The date of effective service is calculated using the Civil Procedure Rules.

Witness interviews (written statements and video interviews)

Data obtained during Trusted Eye's stand-alone, managed services are retained for twenty-eight days, beginning on the date of effective service upon the client.  However, certain personal information (including data contained in witness information forms and forms of assessment)  and any unused material are destroyed or deleted after seven days following service upon the client.  In calculating the date of service, the Civil Procedure Rules are used.
